Why your webinar show-up is stuck at 17% (and how to reach 35%)
Most coaches lose four out of five registrants before the webinar starts. Here is why show-up stalls around 17%, and the nurturing system we use to get clients to 35% and beyond.

If you run webinars, you know the feeling. The ads did their job. Registrations look healthy. Then you go live, and the room is a fraction of the list.
Across the coaches we work with, show-up often starts at around 17%. With the right nurturing, we routinely lift it to 35% or more. That is roughly double the people in the room from the same ad spend, which is why we think show-up is the most underrated number in a coach’s business.
Here is why it gets stuck, and what actually moves it.
Why show-up stalls
1. The registration was cheap, so the commitment is cheap. A free registration takes ten seconds. Unless something happens between that moment and the webinar, the person forgets why they cared.
2. Every registrant gets the same message. One generic “Webinar starts at 7 PM!” blast goes to everyone: the person who registered five minutes ago and the person who registered five days ago, the person who has bought from you before and the person who has never heard your name.
3. Reminders arrive at the wrong time, on the wrong channel. Email-only reminders get buried. A single WhatsApp message the morning of the session is easy to ignore.
4. Nobody follows up with the people who missed it. Absentees are treated as lost, when many of them still want what you are teaching.
What moves show-up from 17% to 35%
Build intent before you remind
Between registration and the session, give people a reason to show up. A short welcome message from you, a question about what they want to solve, a one-minute video that sets up the big promise of the session. Intent comes first; reminders only convert intent into attendance.
Segment your registrants
At minimum, separate people by when they registered, where they came from, and whether they have engaged before. A past buyer needs a different message from a cold lead. Someone who registered a week ago needs more warming than someone who registered last night.
Go multi-channel, on purpose
WhatsApp is where Indian audiences actually read. Email supports it with value and proof. For high-intent registrants, a reminder call can be worth it. The goal is not more messages. It is the right message, on the channel they will see, at the moment it matters: the day before, the morning of, an hour before, and at go-live.
Write like a human
Automation without empathy is spam. The messages that work are warm, conversational and written in the coach’s own voice. “Hi Priya, see you at 7 tonight. Your seat is confirmed, and I have saved a question for you” lands very differently from a robotic “Webinar starts at 7 PM” template.
Recover absentees
Send a replay with a clear deadline. Invite them to the next session. Ask what stopped them. A good absentee flow turns a no-show into a second chance instead of wasted ad spend.
Measure it per batch
Track show-up per webinar, per source and per message. Without that, you are guessing. With it, you can see which sequence, which timing and which audience actually fill seats, and keep improving every week.
The money math
Show-up sits at the top of everything that follows. If half as many people attend, half as many hear your offer, buy your L1 and become candidates for your high-ticket program. Doubling show-up does not just add attendees. It multiplies every stage after it.
That is why we say most agencies brag about low CPL while we obsess over butts in seats.
A quick self-check
- Do you know your show-up rate for your last five webinars?
- Do different registrants get different messages?
- Are you reminding on WhatsApp, email and, for high-intent leads, calls?
- Do your messages sound like you?
- Do absentees get a replay and a next-session invite?
If you answered “no” to two or more, your show-up has room to grow, probably a lot.
